Billing


Overview

If you have Pro or Team workspaces, Arcweave calculates your billing for each one separately, based on its plan, billing cycle (monthly or yearly), and number of seats.

In our pricing page, you can see the cost of a seat in each plan, billed yearly and monthly. It is important to understand how this works for various cases, so let's see some examples.

Examples of switching plan

Switching from Basic to Pro

You have a Basic workspace with 3 members, 3 guest editors, and 3 guest viewers. (A Basic workspace is free, regardless of the number of seats.)

You now want to switch this workspace to Pro. This is how your billing will go, for both Monthly and Yearly cases:

Pro Monthly

On the day of purchase, and on the same day of every month after that, you will be charged and invoiced for $108.00. Here is the breakdown:

Pro Yearly

On the day of purchase, you will be charged and invoiced for $1080.00. On the same day, you will also start receiving a monthly invoice of $0.00. This will be dealing with any seats you may be adding / removing later. (See Examples of adding / removing seats, below.)

Switching from Basic to Team

You have a Basic workspace with 3 Members and 3 Guest Editors. (Remember: Guest Viewers are non-billable.) You now want to switch to Team. This is the breakdown of your first invoice, for both Monthly and Yearly cases:

Team Monthly

On the day of purchase, and on the same day of every month after that, you will be charged and invoiced for $180.00. Here is the breakdown:

Team Yearly

On the day of purchase, you will be charged and invoiced for $1800.00. On the same time, a monthly subscription will start along with your yearly, so you will also start receiving a monthly invoice of $0.00. This will be dealing with any seats you may be adding / removing later. (See Examples of adding / removing seats, below.)

Switching from Pro Yearly to Team Yearly

You have a Pro Yearly account with 3 Members and 3 Guest Editors.

Five months after your subscription's start, you decide that you need API access and custom workspace roles, so you switch to Team.

As mentioned in the previous examples (which have the same number of Members/Guests), you have paid $1080.00 for Pro Yearly. The Team Yearly costs $1800.00.

You have already consumed 5 months of your Pro subscription. Until the end of your Yearly subscription, you will enjoy 7 months of Team subscription.

Therefore, on the day of your plan switch, you will be charged the cost of 7 months of Team Yearly (which will immediately be available to use) minus the 7 months of Pro Yearly (which you will leave).

After the 7 months, on the day of your subscription's renewal, your Team Yearly subscription will be normally renewed, with a charge of $1800.00.

Adding a seat to a monthly plan

You have a Pro Monthly plan with 3 Members and 3 Guest Editors, renewing on the 5th of every month. As previously mentioned, your current billing is $108.00 / month.

On the 1st of a month (4 days before renewal), you decide to add another workspace Editor for another $18 / month, so you invite them to your workspace.

When they accept the invitation (let's assume this happens on the same day), you get charged and invoiced for 4 days of having an extra seat: 4 x 18 / 30 = $2.40.

When your monthly subscription gets renewed on the 5th of the month, the extra seat will be incorporated into your regular invoice. You will then be paying:

Adding a seat to a yearly plan

This case is slightly different from the previous one, due to the fact that seats added after the subscription's initial date are charged and invoiced monthly, in a monthly subscription, as stated earlier.

For example, let's say you have a Pro Yearly plan with 3 Members and 3 Guest Editors, renewing on August 5th of every year. As seen further up, your current billing is $1080.00 / year.

On July 1st, you decide to add another workspace Editor, so you invite them to your workspace.

When they accept the invitation (let's assume this happens on the same day), you get charged and invoiced for 4 days of having the extra seat (July 1–5): 4 x 18 / 30 = $2.40.

After that, and on the 5th of every month, you will be regularly charged and invoiced for that Editor, at $18.00. As mentioned above, this is a monthly invoice, separate from your yearly one.

{info} Remember: when adding a Guest Editor in a project, the new seat is billed exactly as in the case of the additional Member.

Removing a Member or billable Guest

Think of the workspaces seats as a pool of available seats. In the case of a yearly plan, it is the sum of your monthly and yearly subscription seats.

When removing a Member or billable Guest, your occupied seats will decrease starting from your monthly subscription and (if on a yearly plan) then your yearly subscription.

When removing a workspace Member or billable Guest, their seat remains in your workspace until the end of it’s billing cycle.

This means you can invite another user to occupy the same seat or let the seat expire (and be removed from the monthly or yearly billing) after the date of renewal.

In the previous example, your additional Editor's seat renews on the 5th of every month. On the 20th of September, your Editor finishes their work, and you decide to remove them from your workspace.

The seat, however, remains available. You can invite another user to occupy it. If you don't, the seat will be removed on the 5th of October and you will stop getting charged & invoiced for it.
